Office Coordinator

RCG is seeking an Office Coordinator to join our team. What You Will Do:

Greet team members and visitors, answer phones, deliver messages, and oversee sign-in/sign-out sheet.

Coordinate coverage of reception desk and phones by other team members when out of the office.

Manage mail and delivery services including receiving company mail and distributing to appropriate team members.

Identify/manage vendors for facility maintenance, cleaning and repair.

Assist with business travel arrangements for team members. Reconcile travel invoices.

Maintain reception and other public areas of the office to ensure a professional and welcoming appearance.

Support team members with scheduling dates, times and arranging for food and supplies for company events or meetings.

Keep track of office supply inventory and manage reorders.

Provide clerical support for the accounting department which, after training, may include:

  • Processing of accounts payable invoices.
  • Maintaining files for payables waiting to be paid as well as paid invoicing.
  • Reconciling vendor statements.
  • Input of charges into the accounting system for billing purposes.
  • Reconciling invoices to receipts and researching/resolving discrepancies.
  • Preparing incoming payments for posting.
  • Setting up new vendors in accounting system.
  • Maintaining petty cash

Miscellaneous duties as assigned.

What We Would Like To See:

  • 2 or more years receptionist experience
  • 1+ years of bookkeeping experience
  • Working knowledge of MS Office Products
  • PC experience necessary
  • 10-key proficient
  • Organized with strong prioritization skills
  • Excellent communication and interpersonal skills
  • Strong attention to detail
  • Advertising agency experience preferred but not required
